Position Overview:
The Receptionist is the welcoming face and first point of contact for the Mamawi Business Centre. This role supports tenants and visitors by providing professional reception services, coordinating daily front office operations, and ensuring the centre reflects the values of respect, hospitality, and service excellence. The Receptionist contributes to a positive environment where businesses and community partners feel supported and connected.
Key Responsibilities:
- Welcome all visitors and tenants.
- Manage front desk inquiries by phone, email, and in person, and make referrals as appropriate.
- Maintain an organized reception area and support meeting room bookings.
- Coordinate SaskTel telephone system including setting up caller menu, voicemail, and conference calls.
- Coordinate Xerox scanner, printer and photocopier system, including audit and access control, troubleshooting, liaising with vendor, and ordering supplies.
- Coordinate mail, deliveries, photocopying, scanning, and general administrative tasks.
- Contact and schedule contractors for building maintenance and office and equipment repairs as needed.
- Perform minor cleaning tasks (tidying reception area, boardroom, and conference room, including wiping counters, and light cleanup).
- Manage kitchen supplies and keep shared kitchen areas stocked and tidy.
- Track and report facility issues to the Chief Executive Officer.
- Ensure tenant concerns are addressed and handled professionally, leaving customers and visitors with a positive experience.
- Prepare and issue invoices to tenants for printing and other office services, boardroom and conference room rentals.
- Support tenant needs and ensures adherence to building access and safety protocols. Act as fire warden for second floor.
- Assist with KEMC community events at Mamawi Business Centre, tenant communications, and general facility coordination.
- Provide support for other administrative duties as assigned, such as filing and document processing.
Qualifications:
- Completion of Grade 12 or equivalent; post-secondary training in administration is an asset.
- Current post-secondary students are encouraged to apply.
- 1-2 years of experience in reception, customer service, or administrative roles, including summer work experience.
- Strong communication skills, in-person, by phone, and in writing.
- Proficiency with Microsoft Office (Word, Excel, Outlook, SharePoint) and general office equipment.
- Ability to multitask, balance tasks, stay organized, and manage a busy front desk environment.
- Experience working with Indigenous organizations or communities is an asset.
- Demonstrated professionalism, reliability, and a welcoming approach.
